Use a Pictory 3 team to work on videos together and share uploaded media, voice clones, avatars and brand kits. This article covers setting up your team, inviting people, sharing work and managing access.
How teams work in Pictory 3
Your own projects and work shared with you appear in one home view. You do not need to switch between personal and team workspaces. Each project or asset stays private until its creator shares it. Joining a team does not give everyone access to your library.
You can belong to one Pictory 3 team at a time. The team has a shared AI Credits balance, and work by its members uses that balance.
Create a team
Select Team in the left sidebar, then Create team.
Enter a team name and the email addresses of the people you want to invite.
Review the addresses and complete team creation. You become the team owner. Open Team to check the member list and pending invitations.
If you have an active paid individual subscription, upgrade it to a Teams plan through the plans page before creating your team. Eligible free or expired accounts can start a Teams trial. Follow the plan details shown for your account.
Invite a member
The team owner and admins can invite people. Members cannot send team invitations.
Open Team and select Add member.
Enter one or more email addresses. Use the address each person will use to sign in to Pictory.
Check any address highlighted in red. Hover over it to see why it cannot be invited, then correct or remove it.
Select Send invites. The member list shows Invite pending until the person responds.
The Send invites button stays disabled while any address has an error. Someone who already belongs to another Pictory 3 team cannot join yours at the same time. A person with an active paid individual plan cannot join a Teams trial; upgrade the team to a paid plan first.
An owner or admin can cancel a pending invitation from the member list. If someone declines, the list shows Invite declined. Invite the same address again if they later want to join.
Accept a team invitation
Open the invitation email and select Accept invitation.
Sign in to your existing Pictory account, or create an account, using the invited email address.
Review the team invitation and select Join. If you have several invitations, choose the team you want to join.
You can also open a pending invitation from Team and select Join team. Skip leaves the invitation pending so you can return to it later. If you create your own team instead, your other pending invitations are marked declined.
If you already pay for an individual plan and are joining a paid team, review the subscription notice before continuing. The options include Join team and request cancellation and Keep personal account. A cancellation request does not confirm that your individual subscription has been canceled or that a refund has been issued. Contact support if you need help with that subscription.
Understand team roles
Role | Member management | Billing |
Owner | Invite, assign admin or member roles, activate, deactivate and remove members. | Manage the plan, paid seats, payments, invoices and credit purchases. |
Admin | Invite, change member roles, activate, deactivate and remove other eligible members. | Ask the owner to make billing changes. |
Member | View the team member list and use work shared with them. | Ask the owner to add seats or credits. |
Being an owner or admin does not automatically reveal every active member's private projects or assets. The creator controls sharing for each item. Admins cannot change the owner's role or remove the owner.
Share a project
Open Projects and find a project you created.
Open its three-dot menu and select Share. For a team project open in the Editor, you can also use Share project at the top.
Search for and select the teammates who need access. To share from Projects with the whole team, choose the team entry. It appears in the shared list as Everyone in your team.
Select Share to apply your recipient changes.
A project shared from Projects with Everyone in your team also becomes available to people who join the team later. Sharing with named members limits access to those people.
The project sharing dialog uses the label Full ownership for editing access. The original creator still controls who can access the project and can delete it. Sharing does not transfer the project to another owner.
To stop sharing, reopen Share, remove a recipient and apply the change. If access comes through Everyone in your team, removing a person's separate entry is not enough. Review the whole-team entry too. Ask the creator for access changes on a project shared with you.
Collaborate on the same project
Open a project shared with you from Projects. You can continue working with the Agent, revise its script, build a preview, change scenes and open it in the Editor. Your changes affect the shared project, so agree with your teammates before making a large revision.
The project keeps its creator's brand. A teammate cannot replace or remove that brand through the Agent. Choosing My uploads uses your own accessible uploads; it does not open the creator's private library.
The creator retains controls such as sharing / deleting the project. If you need one of those actions, ask the creator.
Work on the project one person at a time. Pictory does not merge simultaneous edits like a live collaborative document. If another person holds the project lock, you may see Project is locked by [name]. Refresh to see the latest version. Let them finish, then refresh before continuing. Refresh if Pictory says the script changed while you were editing.
A video preview link is separate from project access. Sending that link lets someone view the preview; it does not give them permission to edit the project.
Share an asset
Share assets separately when teammates need to reuse them in their own projects. Sharing a project does not share your whole asset library.
Find an asset you uploaded or created and open its sharing control. From Uploads in the sidebar, use the asset's menu. In the Editor, open Visuals or Audio, then Uploads, and use the item's Share control.
Select the teammates who should be able to use the asset. You can select the team entry to choose all current active members.
Select Share. To change access later, reopen the sharing control, update the recipients and apply the changes.
In the Editor, you can also select several visual or audio uploads and use Share with team to share that selection.
Voice clones. Use the sharing icon beside a voice clone you own. Confirm the consent checkbox before adding recipients.
Custom avatars. Use the sharing icon on your custom avatar and confirm consent. Sharing the avatar also gives the selected teammates access to its linked voice. Share an avatar-linked voice through the avatar.
Brand kits. Open the kit's sharing control and select the teammates who should use it. They can apply the shared kit; its creator keeps control of editing, deleting and sharing the original kit.
Recipients can use a shared asset, but they cannot delete the original or pass its access on to someone else. Use the All, Mine and Shared with me filters where available to find your own and shared uploads.
Whole-team asset sharing selects the members who are active at that moment. When someone new joins, reopen the asset's sharing control and add them if they need it. This differs from a project's lasting Everyone in your team share.
Manage seats and team billing
Open Team to check members and seat availability. Sending an invitation does not guarantee an active seat. If there is no capacity, the owner needs to add paid seats through the plan flow before an admin can activate another member.
The owner can open Billing and plan to review the subscription, update payment details and download invoices. Other admins can manage members, but the owner handles purchases and subscription changes.
AI actions by team members use the shared team credits. Only the owner can buy more. If work stops because the team is out of credits or its trial or subscription has expired, ask the owner to review the plan and balance.
Deactivate or remove a member
The owner or an admin can open Team and use the member's Active control to deactivate them, or choose Remove and confirm. Deactivation suspends access while keeping the person on the roster. Reactivating them requires an available seat.
Removing a member ends their access to the team's projects and assets, including work they created in the team. The owner and admins retain visibility of the removed member's shared resources. Do not assume that their private work transfers to an admin.
The removed person returns to their existing personal account or an eligible free-trial account. Projects and assets they had before joining the team become available to them again. Ask the owner or an admin to handle offboarding; members do not remove themselves through the member list.
Troubleshoot team access
Invitation missing. Check the invited address and sign in with that exact email. Open Team to check pending invitations. Ask an admin to check whether the invitation is still pending or was canceled.
Cannot find a shared project or asset. Ask its creator to check the recipients. Confirm that you are an active team member. For assets, ask them to add you if the asset was shared with the team before you joined. Refresh after access changes.
Share or Delete is unavailable. You may be viewing an item someone else owns. Ask its creator to make the change.
A teammate cannot join or activate. Check their existing team membership, the invitation error and the team's available seats. Ask the owner to review any plan restriction.
